By accessing our Website, booking an appointment, or receiving our services, you agree to be bound by these Terms. Please read them carefully.

1. Services Offered
​
Scalp by Dee offers the following scalp micropigmentation services:

2. Consultation and Booking Policy
​
Step 1: Initial Assessment
When a client contacts us for a procedure, we require the client to send five clear photographs of the area in question:

One full frontal view
-
One left-side view
-
One right-side view
-
One top view
-
One view from behind
These images allow us to accurately assess the area and advise on the estimated hours required for the full procedure.

Step 2: Face-to-Face Consultation (Optional)
​If, after the initial photographic assessment, the client would like to meet for a face-to-face consultation, a previously agreed booking fee is required. As of 2025 this fee is R500 but may increase in the future.

If the client proceeds with the procedure, this fee will be deducted from the cost of the first session.

If the client decides not to proceed, the fee remains non-refundable.

Step 3: Booking the Procedure
Once the client agrees to proceed:

A suitable date and time will be arranged.

A 50% deposit of the first session’s total cost will be required to secure the booking. (Example: A 4-hour session at R1980 per hour = R7920 total. A 50% deposit = R3960.)

This deposit is non-refundable if the client cancels or does not adhere to the terms and conditions.

The same deposit policy applies to booking subsequent sessions (session two, three, four, etc.).

Additional Time and Sessions
Please note:

Quoted hours are based on the initial photographic assessment and may vary slightly.

In rare cases, additional time may be required if the client’s pain threshold limits the length of a session or other circumstance.

Skin types vary, and pigment retention can differ from client to client. Sometimes an additional session may be necessary to achieve the desired density and a natural-looking result.

Please note these will all be charged for at the agreed consultation rate.

3. Client Responsibilities
​
To ensure the best possible outcome and a safe treatment experience, clients are responsible for adhering to our pre- and post-care instructions. These instructions can be found on the website in the <Care for your Scalp> page on the website.
It is crucial that you read and understand these guidelines and follow them diligently before and after your procedure. Failure to comply with these instructions may affect the results of your treatment and could potentially lead to complications.

4. Intellectual Property
​
All content on our Website, including but not limited to text, graphics, logos, images, videos, and software, is the intellectual property of By Dee (Pty) Ltd or its licensors and is protected by South African and international copyright laws.
Any content shared by Scalp by Dee on social media platforms (including but not limited to photos and videos of treatments and results) is for the strict use and promotion of By Dee (Pty) Ltd only. This content may not be copied, reproduced, distributed, or used for any other purpose without our express written consent.

5. Governing Law
​
These Terms of Service shall be governed by and construed in accordance with the laws of the Republic of South Africa. You agree to submit to the exclusive jurisdiction of the courts of South Africa in respect of any dispute arising out of or in connection with these Terms or our services.

6. Refunds and Cancellations
​
6.1 Scalp Micropigmentation Services:
Due to the bespoke nature of our scalp micropigmentation and other services and the time and resources involved, we generally do not offer refunds for completed treatments if you are dissatisfied with the final aesthetic result.
We take great care to consult with you, understand your expectations, and perform the procedure to the best of our ability. Results can vary depending on individual factors, and while we strive for client satisfaction, it is important to have realistic expectations.
In exceptional circumstances, such as a significant deviation from the agreed-upon treatment plan or demonstrable error on our part, a partial refund or a corrective procedure may be considered at our sole discretion. Any such concerns must be raised within 7 days of the treatment completion in writing.

6.2 Appointment Cancellations and Rescheduling:
We understand that unforeseen circumstances may arise. However, as a small business, last-minute cancellations and rescheduling significantly impact our schedule and income.

Client Cancellations or Rescheduling: If you need to cancel or reschedule your appointment, we require at least 48 hours' notice in writing. Failure to provide the required notice may result in the forfeiture of your deposit.

By Dee (Pty) Ltd Cancellations: In the unlikely event that we need to cancel your appointment due to unforeseen circumstances, we will make every effort to notify you as soon as possible and offer you an alternative appointment time.

6.3 Procedure for Refund Requests (if applicable):
Any request for a refund or corrective action must be submitted in writing via email to info@bydee.co.za within 7 days of the treatment completion.
Your request should clearly state the reasons for your dissatisfaction and include any relevant supporting documentation (e.g., photos).
We will review your request thoroughly and respond within a reasonable timeframe.

6.4 Non-Refundable Items/Services:
Deposits (in-full or in-part) made to secure appointments are non-refundable. For clarity, a deposit can include full treatment payment upfront and refers to the entire amount. Fees for consultations are generally non-refundable.

7. Product Returns (If Applicable)
​
Any cosmetic products sold related for treatment will adhere to the following standard industry policies:
Due to hygiene reasons, we cannot accept returns or exchanges on cosmetic products once they have been opened or used.
If you receive a damaged or defective product, please contact us within 7 days of receipt with photographic evidence of the damage. We will assess the issue and may offer a replacement or a refund at our discretion.
Returns of unopened and unused products may be considered within 14 days of purchase, provided they are in their original packaging and you have proof of purchase. A restocking fee may apply. Any shipping or collection fees will be for the client's account.

8. Disclaimer of Liability
​
While we take utmost care and professionalism in providing our services, the results of scalp micropigmentation can vary from person to person due to individual factors such as skin type, health conditions, and adherence to aftercare instructions. We make no guarantees regarding the longevity or exact outcome of the treatment.

Please note that Manuela, Manuela Micropigmentation Studio & Academy, and Flawless Cosmetics and Permanent Make-up are associated companies that may provide services to By Dee (Pty) Ltd. However, there is no legal basis establishing these entities as the same company. For all legal intents and purposes, By Dee (Pty) Ltd is a separate and distinct legal entity.
To the maximum extent permitted by law, By Dee (Pty) Ltd shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or in connection with your use6 of our Website or our services.

9. Amendments to These Terms

We reserve the right to modify these Terms of Service at any time without prior notice. Any changes will be effective immediately upon posting on our Website. Your continued use of our Website or services after the posting of revised Terms constitutes your acceptance of the changes.8
